Overview

A law firm is seeking a Real Estate Assistant to provide comprehensive administrative and transactional support to attorneys and practice groups. This role plays a key part in ensuring efficient workflow management, supporting client relationships, and assisting with complex real estate transactions.

The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities in a fast-paced legal environment.

Responsibilities

  • Serve as a primary point of contact among attorneys, clients, and internal stakeholders to ensure clear communication and timely execution of work

  • Provide administrative and operational support, including budget tracking, invoice processing, and vendor coordination

  • Manage and monitor client-specific processes, including tracking billing arrangements and payment workflows
  • Support business development efforts, including conflict checks, engagement letters, proposals, presentations, and other client-facing materials
  • Assist with the billing process, including time entry review, data corrections, invoice submission, and resolution of billing discrepancies
  • Prepare and maintain transaction-related materials, including checklists, process guides, templates, diligence documents, and closing binders
  • Draft, edit, and proofread legal documents, including formatting, redlining, and document comparisons
  • Coordinate closings and assist with preparation of transaction documents and related correspondence
  • Manage calendars, schedule meetings, and coordinate travel arrangements to support attorneys and deadlines
  • Track and organize workflow for assigned matters, ensuring timely completion of tasks
Requirements

  • Minimum of 2+ years of experience in a law firm or professional services environment

  • Prior experience supporting a real estate or finance practice group preferred
  • Advanced proficiency in Microsoft Word, including document formatting, redlining, and comparison tools
  • Strong working knowledge of Microsoft Office Suite (Excel, PowerPoint, Outlook)
  • Experience with document management systems and electronic file-sharing platforms preferred
  • Strong attention to detail with excellent proofreading and editing skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong communication and interpersonal skills with a client-service mindset
  • Ability to work independently while collaborating effectively with a team
